  1. New secure encryption process for outstanding Equitable S&R business requirements
The Equitable® Savings and Retirement Operations team is improving how they send secure email messages to advisors. These emails are sent when there are outstanding requirements for an application or missing information for requests.

Previously, advisors had to manually password protect or unlock PDF documents. This caused delays and difficulties for recipients. The new encryption process will remove that confusion and make it easier for advisors to send and receive secure, encrypted messages.

Advisors will now receive secure, encrypted emails from the QA annuity operations mailbox. These emails will use an encrypt option to protect personal client information, such as attachments or requests for personal documents. Recipients will get an email with a subject line saying they have a secure private message. They will need to sign in to view the message or choose to get a one-time passcode (OTP).

Please ensure to check the SPAM folder for the OTP option as it will expire in 15 minutes. Enter the OTP in the secure message
    portal.

Emails are sent in both English and French, with automatic translation based on browser settings. Recipients must click the view button to access the message in the secure web portal where they can see the encrypted attachment.

Make sure to click Reply in the top right corner of the encrypted message to keep communications within the secure portal.

  2. Extending Homeweb to plan members who are losing coverage

We know these are difficult times for Canadian employers and their employees.

As businesses temporarily suspend operations to help stop the spread of COVID-19, some employers have had to make the difficult decision to temporarily lay off employees or put their benefits coverage on hold.

So we are pleased to announce that Homewood Health® and Equitable Life® will extend access to Homeweb, a personalized online mental health and wellness portal, for up to 120 days for plan members who have temporarily lost their benefits coverage due to COVID-19.

Employees and their family members will continue to have access to the Homeweb website and mobile app, including:

    • iVolve, Homewood’s online self-directed Cognitive Behavioural Therapy treatment tool to help manage mild to moderate anxiety and depression;
    • Resources and information to support themselves and their family members through the COVID-19 pandemic;
    • An interactive online Health Risk Assessment to help identify and address health risks; and
    • An online library of interactive tools, assessments and 20 different e-courses that allow each user to learn at his/her own pace.

This will allow businesses undergoing financial hardship to provide some support to employees who are temporarily without benefits coverage.

  8. New “Update Payment” feature for banking changes has launched! Great news! Equitable® has launched a new self-serve "Update Payment" feature in Client Access and on EquiNet®. This new online process enables clients and advisors to easily submit key banking change requests for eligible insurance policies*, with no need to complete a physical form.

    What’s new?

A new "Update Payment" feature is now available on Client Access and on EquiNet under Policy Inquiry. It allows clients (and advisors) to easily submit requests for the following three transactions online:

    1.  STOP pre-authorized payments.

    2.  RESUME pre-authorized payments on overdue accounts.

    3.  CHANGE which bank we withdraw money from.

The new "Update Payment" feature replaces the previous "Edit" button in Client Access. The old banking change options are still available in the client’s Profile section. They can be used to request a change to the payment withdrawal date, as that option is not yet available with the new Update Payment feature.

    How it works!

When a change is requested using the new Update Payment feature, our Operations team receives it online.  They will review and process the changes within three business days, as per Equitable’s current service standards.

The Update Payment feature in Client Access is a self-serve process. However, if a client prefers, their advisor or an Equitable Customer Service associate can assist them by submitting the request on their behalf. Clients will be asked to sign to approve any such requests that are submitted by someone other than the owner of the policy.

*The Update Payment transactions are only available for eligible policies: those that have not lapsed, are not on Automatic Premium Loan, and are not owned by a corporation or other entity.

We trust that these digital enhancements will help make the client and advisor experience even simpler and more efficient.

  9. Supporting plan members affected by the British Columbia and Northwest Territories wildfires

Wildfires across Canada are disrupting the lives of many Canadians. During this difficult time, Equitable Life is providing additional support to help affected clients and plan members.

    Prescription refills

Plan members who have been evacuated and/or lost their medication due to the wildfires will be able to make early refills until September 17, 2023, through TELUS Health, our pharmacy benefit manager.

Replacement of medical or dental equipment and appliances

Plan members who need to replace eligible medical or dental equipment or appliances due to the wildfires should first call 1.800.265.4556 to confirm coverage.

    Disability or other benefit cheques

Plan members receiving disability benefits or other benefit reimbursements via cheques can visit www.equitable.ca/go/digital for instructions on how to sign up for direct deposit. It just takes a few minutes. Plan members can also call us at 1.800.265.4556 if they need help, a replacement cheque or assistance arranging a different mailing address.

    Mental health support

Unpredictable, large-scale natural disasters can cause people to experience intense reactions, putting a lot of pressure on their mental health. Having coping mechanisms to deal with the current crisis can be a huge help. Any Equitable Life plan member who needs mental health support can visit Homeweb.ca/equitable to access online resources or contact Homewood at 1.888.707.2115.

For plan sponsors who have purchased Homewood Health’s Employee and Family Assistance Program (EFAP), their plan members also have access to confidential counselling services. The EFAP provides plan members with 24/7 access to confidential counselling through a national network of mental health professionals. Whether it’s face-to-face, by phone, email, chat or video, plan members will receive the most appropriate, most timely support for the issue they’re dealing with.

    Plan Administrator support

We realize that the fires are having a profound impact on regular business operations in B.C. and N.W.T. If you have clients that are unable to carry out day-to-day plan administration, they can call us at 1.800.265.4556. They can also contact their Customer Relationship Specialist for support.

This is a challenging time for advisors, plan sponsors and plan members. We will continue to monitor the situation and provide additional updates as appropriate.
